Privacy Policy

This policy explains what personal information we collect when you visit our website, ask for a quote or book a journey, how we use it, who we share it with and the choices you have.

Section 1Who We Are

Executive Cars of Sussex is a chauffeur service run by a sole trader. We are responsible for the personal information described in this policy. If you have any questions, email contact@executivesussex.co.uk or call 07498 923559.

Section 2What We Collect

When you ask for a quote or book, through our website forms, by phone, by email or by message:

• your name, phone number and email address
• pickup and drop-off addresses, dates and times
• flight or sailing details, so we can track arrivals
• the number of passengers and amount of luggage
• any requests you choose to tell us about, such as child seats or help getting in and out of the car

For business accounts, we also keep the company name, billing contact and invoice details.

When you pay by card, the payment is handled by our card payment provider. We do not see or store your full card number.

When you use our website, we collect information about how the site is used, such as the pages visited, the device and browser, and your approximate location. Analytics and session recording only run if you agree to them in our cookie banner.

Section 3How We Use It

We do not sell your information. We will only send you marketing messages if you have agreed to receive them, and you can ask us to stop at any time.

Section 4Who We Share It With

We only share your information where it is needed:

• Your chauffeur, including a subcontracted chauffeur where we use one, receives the details needed for your journey.
• Xero, for invoicing and accounts.
• Airtable, for managing bookings.
• Bluehost, which hosts our website and email. Website form submissions are stored on our website.
• Cloudflare and QUIC.cloud, which keep our website secure and fast.
• Google Analytics, for website statistics, only with your consent.
• UXSniff, which records how visitors move around our website so we can improve it, only with your consent.
• CookieYes, which records your cookie choices.

We may also share information where the law requires it. Some of these providers may process information outside the UK. Where they do, they are required to protect it to UK standards.

Section 5How Long We Keep It

We keep booking and invoice records for as long as HMRC requires, which is currently at least five years after the 31 January Self Assessment deadline for the tax year concerned. After that, we delete them. Other information is kept only for as long as we need it for the purposes above.

Section 6Cookies

Our website uses cookies. Essential cookies keep the site working. Analytics and session recording cookies are only set if you accept them. You can change your choice at any time using the cookie button in the bottom left corner of every page.

Section 7Your Rights

You have the right to:

• ask for a copy of the information we hold about you
• ask us to correct anything that is wrong
• ask us to delete your information, where we no longer need to keep it
• object to, or ask us to restrict, how we use it
• ask for your information in a format you can take elsewhere
• withdraw your consent at any time, where we rely on it

If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
